Privacy Policy
ATP Pickleball LLC

This Privacy Policy describes how ATP Pickleball LLC (“we,” “us”) collects, uses, and protects information in connection with the ATP Pickleball staff operations app (iOS and Android) and the ATP Pickleball web dashboard (together, the “Service”). The Service is an internal workforce tool used by our employees and staff to manage schedules, tasks, timecards, time-off requests, and expense reimbursements.
Information We Collect
Account information. Your name, email address, phone number, work role, assigned locations, and an internal payroll identifier. Accounts are provisioned for staff members by ATP Pickleball administrators.
Sign-in credentials. You sign in with an email and password, Sign in with Apple, or Google Sign-In. Authentication is handled by Firebase Authentication (a Google service); we never see or store your password in plain text.
Location at clock-in. When you clock in for a shift in the mobile app, the app captures your device’s GPS coordinates one time to verify you are on site at the facility. Location is not collected in the background, is not tracked continuously, and is used only for this timekeeping check. The coordinates are stored with the timecard entry and are visible to managers.
Directory photo. A photo of you, taken with your device’s camera or uploaded by you, displayed in the internal staff directory and on schedules.
Receipt photos and expense details. If you submit a work expense, we collect the receipt photo you take and the purchase details you enter (description, reason, category, amount, and payment method) to process approval and reimbursement.
Work records. Schedules, shift assignments, task completions, training progress, time-off requests, and timecard entries created through your use of the Service.
How We Use Information
To operate staff scheduling, task tracking, and internal communication for our facilities.
To record work hours, verify on-site clock-ins, and prepare payroll.
To review, approve, and reimburse work expenses.
To maintain an internal staff directory.
We do not sell your personal information, use it for advertising, or share it with third parties for their own marketing. The Service contains no third-party advertising or cross-app tracking.
Who Can See Your Information
Your information is visible within ATP Pickleball LLC on a role basis: teammates can see names, photos, and published schedules; managers and administrators can additionally see timecards (including clock-in location), time-off requests, and submitted expenses for the locations they manage. Payroll-related data may be shared with our payroll and accounting providers solely to pay you and keep our books.
Where Your Information Is Stored
Data is stored in Google Firebase (Cloud Firestore) on Google Cloud infrastructure in the United States, protected by authentication and role-based security rules. Data is encrypted in transit. For more on Google’s practices, see the Firebase Privacy and Security documentation.
Data Retention and Deletion
We retain work records (schedules, timecards, expenses) as long as needed for payroll, accounting, and legal requirements. You may delete your account from within the app, or request deletion of your account and personal information by contacting us at the email below. When employment ends, accounts are deactivated and personal information is removed or retained only as required by law.
Permissions the App Requests
Location (while using the app): used only at the moment you clock in, to confirm you are at the facility.
Camera: used only when you choose to take a directory photo or photograph a receipt.
You can decline either permission in your device settings; the related feature simply won’t be available.
Children’s Privacy
The Service is a workplace tool intended for employees and staff. It is not directed to children under 13, and we do not knowingly collect information from them.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised effective date.
